This Privacy Policy explains how Wavfolio (“Wavfolio,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you use wavfolio.com, Wavfolio project pages, membership features, and related communications.
Information we collect
- Account and membership information: name, username, email address, account status, membership level, policy acceptance records, and related account activity.
- Studio and project information: studio profile details, project names, client names, scope, requirements, messages, comments, approvals, metadata, delivery details, and notification preferences.
- Uploaded content: audio files, cover art, studio images, reference files, and final-delivery files that you choose to upload.
- Client/guest information: names, optional email addresses, comments, approvals, responses, and messages submitted through private project links.
- Technical and security information: IP-derived security and rate-limit data, cookies, browser/session information, request logs, timestamps, and error logs used to operate and protect the service.
- Payment information: membership and payment status handled through Paid Memberships Pro and the configured payment processor. Wavfolio does not intentionally store full payment-card numbers in project records.
How we use information
We use information to provide accounts and memberships; store and deliver private project content; generate temporary private file links; send requested project and account notifications; enforce plan limits; prevent abuse; troubleshoot errors; protect users and the service; respond to support, legal, copyright, and deletion requests; and improve Wavfolio.
Service providers and sharing
We share information only as reasonably necessary to operate the service, comply with law, protect rights and safety, or complete a business transaction. Service providers may include WordPress and Paid Memberships Pro components, Hostinger or another web host, Cloudflare R2 private object storage, email-delivery infrastructure, backup/security providers, and payment processors. These providers process information under their own terms and privacy practices.
Private project links
Project links are designed to be private but may be accessed by anyone who receives the link and any project password. Studio users are responsible for sharing links carefully, revoking links when needed, and obtaining appropriate permission before entering client contact information or uploading client content.
Storage, retention, and deletion
Files may be stored in private Cloudflare R2 buckets and delivered through expiring signed URLs. Existing local WordPress media may remain until migrated or deleted. When an eligible membership ends, the account may receive a 30-day read-only grace period. Locked project data is generally retained for up to 90 additional days before it may be deleted, unless a longer period is required for security, backup integrity, disputes, legal obligations, or legitimate business records. Project deletion is permanent in the Wavfolio interface. Backup copies may persist temporarily until normal backup rotation completes.
Your choices and rights
You may update account and studio information, delete individual projects, unsubscribe from optional project notifications, or request access, correction, export, restriction, or deletion of personal information where applicable. Instructions are available on the Data & Account Deletion page. We may need to verify your identity and may retain information when legally permitted or required.
Security
We use administrative, technical, and organizational safeguards intended to protect information, including private object storage, short-lived signed file URLs, access controls, rate limits, backups, and logging. No online service can guarantee absolute security. Keep independent copies of important audio and project files.
Children
Wavfolio is not directed to children under 13. Account holders must be at least 18 years old or have the involvement and permission of a parent or legal guardian who can agree to the applicable terms.
International use
Information may be processed in the United States and other locations where our providers operate. Users outside the United States may have additional rights under local law.
Changes
We may update this policy. Material changes may require renewed acceptance or be communicated through the site or email.
